About this policy

This policy covers Chil Fi, an internal business-analytics application built and operated by Chil & Co. ("we", "us", "our").

Chil Fi is not a public product. It is not offered, sold, or licensed to anyone outside our organization, and it has no external users. It exists solely to help us understand the profitability of our own client work by bringing together data from the business systems we already use.

If you are a client, contractor, or employee of Chil & Co. and want to know how your information is handled, this policy tells you.

What Chil Fi accesses

Chil Fi connects to business systems we already operate, using credentials we control, and reads data from them. It does not collect information from website visitors, and it has no sign-up, login, or public interface.

From QuickBooks Online (Intuit):

  • Customer and vendor records, including business contact details

  • Invoices, credit memos, and payments

  • Bills, purchases, and expense line items

  • Chart of accounts, classes, and items

From Harvest:

  • Client and project records

  • Time entries, including hours, dates, task descriptions, and the notes our team records against them

  • Expense records

  • User accounts and team assignments

From other connected systems as we add them — currently planned: Jibble (time and attendance), Asana (project delivery status), and Google Sheets (our internal rate and pipeline records).

Personal information

Chil Fi is a business-analytics tool, and the overwhelming majority of what it holds is commercial rather than personal. The personal information it does touch is limited to:

  • Business contact details for client and vendor organizations — names, company names, and business email addresses as recorded in our accounting and time-tracking systems

  • Names of our own employees and contractors, together with the hours they worked, the projects they worked on, and their pay or cost rates

Chil Fi does not access, store, or process consumer financial data, payment card numbers, bank account numbers, government identifiers, health information, or credentials belonging to any individual.

How we use it

We use this data for one purpose: internal financial and operational analysis. Specifically, to understand client and project profitability, measure how delivered work compares to what was contracted, model the cost of proposed work, and inform decisions about pricing, capacity, and hiring.

We do not use it for advertising, profiling, automated decision-making about individuals, or any purpose unrelated to running our business.

How we share it

We do not sell this data. We do not rent, trade, or license it. We do not share it with advertisers, data brokers, or analytics providers.

Data is accessible only to authorized Chil & Co. personnel who need it to do their jobs. We may disclose information where we are legally required to, such as in response to a valid legal process.

Where it is stored and how it is protected

Data retrieved by Chil Fi is stored in a private database on infrastructure we control. It is not hosted on a public website and is not reachable from the public internet.

Access credentials for connected systems are held in configuration outside our source code repository and are not shared beyond the personnel who administer the application. Access to the application and its database is limited to authorized personnel.

Connections to Intuit and other providers use OAuth or token-based authentication over encrypted connections. We do not ask for, receive, or store any individual's password for a connected service.

No system is perfectly secure, and we do not claim otherwise. We take reasonable measures appropriate to an internal tool holding business records.

Retention and deletion

We retain data for as long as it is useful for financial analysis and as long as our record-keeping obligations require.

Disconnecting Chil Fi from a connected service stops any further data being retrieved. For Intuit specifically, you can revoke access at any time from the QuickBooks Online Apps → Connected apps settings; revoking access immediately ends our ability to read further data from QuickBooks.

If you would like data relating to you removed from Chil Fi, contact us using the details below and we will do so, except where we are required to retain it for accounting, tax, or legal purposes.

Your choices

Depending on where you live, you may have rights to access, correct, or delete personal information we hold about you, or to object to certain processing. To exercise any of these, contact us using the details below. We will respond within the time frame required by applicable law.

Changes to this policy

If we change how Chil Fi handles data, we will update this page and revise the effective date above.
