OPERATIONS ADMINISTRATIVE ASSISTANT
We are seeking an organized, proactive, and dependable Operations Administrative Assistant to support the day-to-day needs of our creative agency and studio. This is an entry-level, in-person role ideal for current college students, recent graduates, or those looking to begin a career in business operations, management, administration, or project management.
Reporting to the Operations Manager, this role provides hands-on experience across administrative support, scheduling, studio operations, customer communication, and team coordination. Mentorship and professional development will be provided throughout the role to help build practical, real-world experience in managing the operations of a creative businesses.
Scope of Services
Responsibilities may include:
Assist the Operations Manager with day-to-day administrative and operational tasks
Assist with scheduling meetings, maintaining calendars, and coordinating team schedules
Coordinate studio bookings, calendars, hosts, and other booking logistics
Help respond to studio calls, texts, emails, customer inquiries, reviews, and messages
Follow up with prospective customers and help maintain studio lead pipelines
Support administrative needs related to agency clients, projects, freelancers, contractors, and internal operations
Help maintain organized internal systems, files, records, calendars, and operational checklists
Assist with freelancer and contractor time tracking and administrative coordination
Research agency awards, business opportunities, vendors, and other operational needs
Research and order approved office, studio, and production supplies
Help coordinate internal meetings, team events, studio events, and company activities
Assist with team and contractor onboarding and administrative tasks
Maintain studio inventory, supplies, and equipment records
Help keep the studio clean, organized, stocked, and guest-ready, including light studio upkeep
Provide additional administrative and operational support as business needs arise
Preferred Qualifications
Current college student, recent graduate, or early-career professional
Interest in business operations, management, project management, administration, project coordination, agency operations, or studio management
Ability to reliably work in person at our Atlanta studio
Strong verbal and written communication skills
Strong organizational and time-management skills
Excellent attention to detail and follow-through
Ability to manage multiple responsibilities and priorities
Ability to follow established processes and maintain accurate records
Willingness to learn, ask questions, take initiative, and problem-solve
Dependable and comfortable working independently on assigned responsibilities
Previous administrative, customer service, office, or coordination experience is helpful but not required
Compensation & Contract Term
Contract Term: 3-month contract, with the potential to extend based on business needs and mutual agreement
Anticipated Hours: Approximately 30–35 hours per week, based on business needs and agreed-upon availability
Operations Administrative Assistant Rate: $10–$13/hour, based on qualifications and experience
Location: In person at our Atlanta studio
Professional Development: Hands-on mentorship and exposure to agency operations, project management, business administration, and studio management throughout the engagement
